Privacy Policy
Effective Date: December 8, 2025
Your privacy is important to Ellwood Bristol (“Ellwood Bristol”, “we”, “our”, or “us”). This Privacy Policy (“Policy”) explains how we collect, use, disclose, and protect personal information in connection with Reactivid, our AI video generation platform, and our related websites, products, and services (collectively, the “Services”).
By using the Services, you acknowledge that you have read and understand this Policy and agree to its terms. If you do not agree with this Policy, please do not use the Services.
We may update this Policy from time to time. If we make material changes, we will post the updated version on our website and update the effective date above. Depending on the circumstances, we may also notify you by email or in-product notice. Your continued use of the Services after changes take effect means you accept the updated Policy.
Scope of This Policy
This Policy applies to personal information we collect when you access or use the Services, contact us, or otherwise interact with us. It does not apply to information we process solely on your behalf as a processor/service provider under a separate contract, or to information processed by third parties that have their own privacy policies.
Age Limitations
Reactivid is designed for creators, teams, and organizations, and is not directed to children. You must be at least the age of majority in your place of residence to create an account or use the Services on your own. If you are under the age of majority, you may use the Services only with the consent and supervision of a parent or legal guardian.
We do not knowingly collect personal information from children under 13. If we become aware that a child under 13 has provided personal information to us, we will take reasonable steps to delete it. Parents or guardians who believe we may have collected information from a child can contact us (see Contact below).
Information We Collect
When you use the Services, we may collect information that identifies you or can reasonably be linked to you (“personal information”). The categories of personal information we may collect include:
- Account and contact information: name, email address, password or authentication credentials, organization or team name, role, and other details you provide when creating or managing an account.
- Billing and transaction information: billing address, limited payment-related information (e.g., last four digits of a card or payment method type) and transaction history. We typically use third-party payment processors, who collect and process your full payment card details directly on our behalf.
- Project and content data: scripts, outlines, prompts, video briefs, reference documents, uploaded audio or video, source files, storyboards, exported assets, and related metadata that you submit to or generate within Reactivid (for example, scene structure, timing markers, captions, and export settings).
- Voice and media data: if you choose to use voiceover features, we may process audio samples, recordings, transcripts, timing information, and configuration settings required to generate or refine AI voiceovers or timing cues. Depending on your configuration, some of this processing may occur locally on your device, while other processing may rely on external model providers.
- Usage and device information: IP address, browser type, operating system, device identifiers, approximate location based on IP, pages viewed, features used, timestamps, crash logs, and performance data. This may be collected through server logs, analytics, and similar technologies.
- Cookies and similar technologies: we and our third-party partners may use cookies, pixels, local storage, and similar technologies to remember your preferences, keep you signed in, analyze how the Services are used, and improve performance.
- Support and communications: copies of messages you send us (for example, via email or in-app support), feedback you provide, and any additional information you choose to include.
We collect information (a) directly from you (for example, when you create an account, configure a project, upload files, or communicate with us), and (b) automatically as you use the Services (for example, through cookies and analytics).
You agree that all information you provide to us is accurate and complete, and you agree to notify us of any changes so that we can keep our records up to date.
How We Use Your Information
We use personal information for the following purposes:
- Providing and operating the Services: to create and manage accounts; authenticate you; process your projects, prompts, scripts, and media; generate AI voiceovers and other outputs; and deliver features such as storyboards, timelines, exports, and integrations with tools like Adobe After Effects and DaVinci Resolve.
- Improving and supporting the Services: to understand how Reactivid is used, diagnose and fix issues, analyze performance, and make informed decisions about new features, workflows, and optimizations.
- Personalization: to remember your settings and preferences (for example, default voices, render settings, or project templates), and tailor aspects of the Services to your usage.
- Security and abuse prevention: to protect the Services, our users, and our infrastructure, including monitoring, preventing, and investigating fraud, abuse, and security incidents.
- Communications: to send transactional messages (such as account notifications, billing updates, or technical notices) and, where permitted, to send information about new features, updates, or surveys. You can opt out of non-essential marketing communications at any time.
- Legal, compliance, and enforcement: to comply with applicable laws, regulations, and legal processes; to enforce our terms and policies; and to protect our rights, property, users, and the public.
- Research and development: to analyze usage trends and improve our AI models, tools, and workflows. Where reasonably possible, we use de-identified or aggregated data for these purposes.
We retain personal information only as long as reasonably necessary to fulfill the purposes described in this Policy, unless a longer retention period is required or permitted by law (for example, tax, accounting, or legal obligations) or for reasonable backup, archival, or audit purposes.
We may remove personal identifiers from your information and maintain it in de-identified and/or aggregated form. De-identified and aggregated data is owned by us and may be used for any lawful purpose.
How We Use AI and Third-Party Model Providers
Reactivid relies on AI and machine learning to assist with tasks such as scripting, voiceover generation, timing, and structuring content. To provide these features, we may process your inputs (for example, scripts, prompts, and audio) and outputs (for example, generated voiceovers, captions, or scene suggestions) using:
- Local processing: in some configurations, certain processing may occur on your own device or infrastructure. When processing is fully local, the corresponding content is not uploaded to our servers for that operation.
- Third-party AI providers: we may use reputable third-party AI/ML providers to process your content solely to deliver features you request (for example, text generation, rewriting, timing assistance, or voice synthesis). These providers act as our service providers and are contractually restricted from using your content for their own purposes, except as necessary to provide their services to us.
We do not sell your scripts, voice data, or project files. Unless we clearly explain otherwise and obtain your consent, we do not allow third-party providers to use your content to train their models in a way that would identify you or your projects.
International Data Transfers
Ellwood Bristol is based in Canada, and our primary business mailing address is in Ontario. Depending on where you are located and the service providers we use, your information may be processed in other provinces and countries (including the United States or other jurisdictions) that may have different data protection laws than where you live.
When we transfer personal information across borders, we take steps to help ensure that appropriate safeguards are in place, consistent with applicable law. By using the Services, you understand that your information may be transferred to and processed in jurisdictions outside your home country.
Data Retention
We retain personal information for as long as reasonably necessary to provide the Services, support legitimate business and product development needs, comply with our legal obligations, resolve disputes, and enforce our agreements.
When personal information is no longer needed for these purposes, we may delete it, anonymize it, or segregate it from active use in accordance with our data retention practices.
Your Choices and Rights
Depending on where you live and subject to applicable law, you may have certain rights regarding your personal information, such as:
- accessing a copy of the personal information we hold about you;
- requesting that we correct inaccurate or incomplete information;
- requesting that we delete certain personal information (subject to legal and contractual obligations);
- objecting to or requesting restrictions on certain processing activities; and
- withdrawing consent where we rely on your consent.
To exercise these rights, please contact us using the details in the Contact section below. We may request information from you to help us verify your identity before responding. Some rights may be limited where we have an overriding legitimate interest or legal obligation to continue processing the data.
You may opt out of non-essential marketing emails by using the “unsubscribe” link in those emails. We may still send you transactional or service-related messages (for example, about account security or billing).
Security
We use technical and organizational measures appropriate to the sensitivity of the information we process, which may include encryption in transit, access controls, logging, and other safeguards designed to reduce the risk of unauthorized access, use, or disclosure.
However, no method of transmission or storage is completely secure. We cannot guarantee absolute security of your information. If you believe your account or interaction with us is no longer secure, please contact us immediately using the information below.
Third-Party Websites and Services
The Services may contain links to third-party websites, tools, or integrations. These third parties are not controlled by us, and their privacy practices are governed by their own policies, not this one. We encourage you to review the privacy policies of any third-party services you choose to use or connect with Reactivid.
Electronic Communication
While we take steps to protect information in transit, we cannot guarantee the security of information sent via email or other electronic means. If you need to share sensitive information, please contact us to discuss appropriate options for doing so securely.
Changes to This Policy
We may modify this Policy from time to time to reflect changes in our practices, technologies, legal requirements, or other factors. When we make material changes, we will update the effective date at the top of this page and, where appropriate, provide additional notice (such as by email or an in-product message).
We encourage you to review this Policy periodically to stay informed about how we handle your information.
